OFFICE SUPPORT STAFF:
TEAM RESPONSIBILITIES:
- Answering general telephone calls and greeting visitors
- Processing state mailings
- Preparing and shipping UPS packages
- Photocopying and faxing documents
- Setting-up in-house meetings, ordering of AV, and food arrangements
- Providing administrative support for national membership conferences
- Supporting other team members with their committee meetings and conferences
- Offering executive assistance when necessary
- Assisting callers with Workforce ATM questions/issues, offering recommendations for website improvements
- Providing all necessary support for various CESER projects - including mailings, meeting arrangement, etc. Supporting appropriate CESER contractors
- Identifying supply needs and when appropriate ordering office supplies
- Offering recommendations for workflow process improvements
- Assisting state members in opening WorkforceATM accounts
- Assisting state members in registering for meetings
INDIVIDUAL POSITIONS AND RESPONSIBILITIES:
Gloria Fluellen-Simpson, Administrative Assistant & Bookkeeper
- Performs all team responsibilities listed above
- Functions as the primary office receptionist
- Maintains telephone system and updates as needed
- Handles all NASWA/CESER project invoices
- Assist Executive Director in mailing NASWA dues letters and invoices to state membership
- Maintains NASWA/CESER accounts payable and accounts receivable
- Offers meeting support -- including, but not limited to: packages, name tents, meeting receipts, and mailings for the Labor Market Information (LMI) Committee, the Equal Opportunity (EO) Committee, the Information Technology (IT) Committee, and the UI Program and Technology Subcommittee (UI-PTS)
- Offers administrative support for assigned committees' annual conferences and for Board meetings
- Offers conference support for Winter Policy Forum
- Oversees the management of the postage machine including supplies
- Orders supplies and helps maintain photocopier and fax machines
- Preparation of contents for Board boxes sent to Annual Conference
- Manages office's water supply
Martina L. Pass, Office & Membership Services Manager
- Performs all team responsibilities listed above
- Acts as librarian and historian of NASWA/CESER
- Coordinates background materials and briefing packages for national membership meetings and other national workgroups as assigned
- Maintains and updates Committee lists each year
- Maintains and updates all Program Director lists
- Coordinates awards process and Salute to Leadership brochure for NASWA Annual Conference.
- Offers meeting support -- including, but not limited to: packages, name tents, meeting receipts, and mailings for the Employment and Training (E&T) Committee, the WIA Attorney's Workgroup, the Veterans' Affairs (VETs) Committee, the Unemployment Insurance (UI) Committee, the Interstate Benefits (IB) Committee, and the Administration & Finance (A&F) Committee
- Oversees management of printers
- Offers administrative support for assigned committees' annual conferences
- Coordinates shipment of Winter Policy Forum and Annual Conference materials
- Assists Executive Director in coordination and production of Board of Director's books
- Manages office files
- Manages staff attendance calendar
- Produces and mails all committee nomination packages, collects nomination information, and enters into the database
